Robust Volunteer Management System Enhancements

The current volunteer management tools are limited and don’t fully support the needs of race directors, volunteers, or coordinators. A more comprehensive system could include:

Volunteer Task Management

Create and edit tasks with detailed info, including:

Task description

Location volunteers should report to

Task Coordinator assignment

Mark tasks as private, useful for pre-assigned groups (e.g., “Boy Scout Troop 23” for Water Stop 2)

Import tasks via CSV to streamline large-scale setup or data migration

Organize tasks into categories and generate direct signup links

Volunteers can view who else signed up, like public entrant lists

Coordinator Access & Permissions

Assign access at the task or category level

Option to grant full volunteer data access to trusted coordinators

Volunteer Sign-Up Experience

Volunteers can return to view their roles and full details

Confirmation emails should include role title, time, location, and description

Add an input box in the Email Confirmation tab for RDs to customize the volunteer confirmation email

Display custom question responses (e.g., shirt size) directly in the dashboard table view

Support for conditional questions based on selected tasks

Ability to edit the volunteer waiver and customize automated emails

Race Day Tracking & Check-In

Volunteer check-in functionality within a UltraSignup race-day-ready check-in / management app

Coordinators can track real-time check-in status

Reporting & Summary

Full volunteer reports with contact info, task assignments, and question responses

Visual summary to track which tasks are full, underfilled, or still open

These updates would streamline operations, improve communication, and enhance the overall experience for race directors, volunteers, and coordinators.
